The following statements disclose the privacy policy for the CA - Sprott Business Competition. Questions pertaining to this statement should be directed to: sbc@sprott.carleton.ca for clarification.
Our Privacy Vow
Your participation is important to us. Your privacy is important to us. We will not compromise your trust.
Background
In order to provide an environment relevant to individual teachers or other educators, information is obtained in order to differentiate students and teachers from one another. We collect information from teachers and other educators through our registration process (see Registration below).
Students can provide their name and email on an opt-in basis (see Student Opt-in Mailing List, below) in order to receive email updates regarding the competition as well as other targeted material from our sponsor(s). Students UNDER the age of 16 at the time of opt-in MUST receive consent from a parent/guardian to join the CA – SBC student mailing list. Students aged 16 or over do not require consent of a parent/guardian to subscribe to the CA – SBC mailing list.
CA – SBC is administered by faculty and staff of the Sprott School of Business at Carleton University. Unless responding to demands from law enforcement agencies, CA – SBC administrators and the Sprott School of Business will use personal information only as specified in this document. Email addresses are not provided to any third party, including sponsors. All email addresses are maintained, administered and protected by employees or contractors of Carleton University and are subject to the strict guidelines mandated by Freedom of Information and Protection of Privacy Act (FIPPA).
Registration
When registering a teacher account with the CA – SBC, we will ask you to provide certain information such as your name, password, school or college email address and phone number. This information will be used for personalisation and identification purposes only. Only teachers holding active accounts can register for competitions. Your account will remain active unless you inform us otherwise. (See Opting Out, below). Other school information will also be collected such as school calendar details in order to configure competitions to suit different timetables, as necessary. When registering for competitions, we will also request class information including class name and code, and student and team numbers. This information will be used to personalise and configure the industries playing within the CA – SBC. Student names will not be requested at this time.
Once a year, CA – SBC will email all teacher/educator accounts to confirm account status. Reply to this email if you wish to be removed from the CA – SBC database. Removal can also be requested at any other time (see Opting Out, below).
Student Opt-in Mailing List
Students can provide their name, age, grade and email on an opt-in basis. Students working in groups are identified ONLY to other competition participants by a system-generated team name. Student teams can subsequently submit their own team name for approval and implementation by the class teacher. The names and emails of individual students are never publicly available to other teams.
Students opt-in via their team login accounts to receive email updates from CA – SBC. Students who have not reached the age of 16 at the time of opting-in must secure the permission of a parent or guardian in order to add their name to the CA – SBC mailing list. Consent forms are available on the sign up page of the team login area on the CA – SBC website. Otherwise, students and teachers can contact sbc@sprott.carleton.ca to request the form. The forms must be signed and returned to teachers, who must keep the forms on record for a period of one year after submission. Teachers must verify student opt-in requests, as well as the receipt of a consent form if applicable, via their teacher login area BEFORE the student will be contacted by CA – SBC. Both the student name and email will be made visible to the teacher for verification.
NOTE: Students will only receive email communication from CA - SBC for the period from their approval to receive such communication up to the end of the academic year (roughly June). At the end of each academic year, student emails will be removed from the active communication list, but will be archived for a period not exceeding ten (10) years from the end of the academic year in which it was obtained, along with other information, in order that they be available for enrolment impact analysis by Sprott and/or Carleton (see Uses of Information, below). Students who wish to receive communication from CA – SBC over multiple years must opt-in each academic year.
Password Encryption and Security
To protect against unauthorised access of school, teacher and team information, all passwords created for these accounts are encrypted using Triple DES Encryption (See http://en.wikipedia.org/wiki/Triple_DES for more information). Accounts are locked if more than three access attempts are made with incorrect credentials. In this way, we protect against unauthorised access to school and teacher information. Teacher authorisation must be given before CA – SBC will unlock accounts.
Use of Information
Any personal information you provide to CA – SBC is maintained and accessible only by CA – SBC or its contractors unless specifically stated otherwise. CA - SBC may use the information it collects in any of the following ways:
- To communicate with teachers for the purpose of game administration or to students who have opted-in for the purpose of enhancing their experience with the game or to relay information from our sponsor(s).
- Personal information might be used by Sprott and/or Carleton to ascertain the impact of playing the game on enrolment at the institution in order to assess the value of our investment in CA – SBC as an educational and recruitment tool. Personal information will be archived for this purpose for a period not exceeding ten (10) years from the end of the academic year in which it was obtained.
- We use aggregate data to publish participant numbers in our promotional literature. No personally identifiable information is disclosed in this process; only general information in aggregate form.
- Non-specific, aggregate data can also be used for the purposes of collecting general demographic information, measuring user interests, and analysing the collective characteristics and behaviours of our registered teachers. The collection of this information allows us to appropriately change and update CA – SBC to better meet educators’ needs.
- From time to time, CA – SBC may use your information to inform you of changes and enhancements to the CA – SBC.
- CA – SBC reserves the right to report any illegal activity to law enforcement agencies and will respond to subpoenas, warrants, or other court orders regarding information that is contained within our database concerning any identifiable visitor to our site.
- CA – SBC also cooperates with, and reserves the right to release, any and all information to tax collection and tax law enforcement agencies in order to identify those users who may owe taxes on earnings from CA – SBC prize winnings (if any).
Opting Out
Teachers and educators may opt-out of CA – SBC communication by modifying their account to ‘inactive’. If you wish your information to be erased from the CA – SBC system completely, this can be done at any time by sending an email to sbc@sprott.carleton.ca requesting removal from our database. If your account is inactive you can re-activate your account at any time to receive reminder emails about CA – SBC competitions and other events. To ensure that we do not hold your information any longer than you wish, we will email all registered teachers and educators once a year to confirm account status. Reply to this email if you wish to be completely removed from our database.
Students may opt-out of CA – SBC communication by sending an email to sbc@sprott.carleton.ca requesting removal from our database.
